We know unexpected things can happen. Because these events require significant planning and early commitments to venues, partners, and participants, we can only offer transfers or credits in the event of an emergency. We are unable to issue automatic refunds.
When you sign up for a Pollinate Impact in-person event, you reserve a spot in a community-focused space, and we start getting ready for your participation right away.
Transfers and credit requests will only be granted in the case of one of these emergencies:
Medical Emergency
A serious illness, injury, or medical condition affecting the registered participant or an immediate family member.
Family Emergency
A death or life-threatening situation involving an immediate family member.
Natural Disaster or Extreme Weather
Events that directly impact the participant’s ability to travel or attend the Potluck (e.g. hurricanes, earthquakes, floods, wildfires).
Visa Denial
If you apply for a visa on time and can show proof that your visa was denied.
We strongly encourage the following options, in this order:
Transfer Your Registration (Recommended)
You can transfer your registration to a colleague in your organisation at no extra cost.
We especially suggest this for teams with several staff members. It keeps your organisation involved and makes sure your spot is filled.
Credit To Future Membership Dues
If your organisation qualifies as a member, you may request to apply your registration fee as a credit toward your organisation’s next membership renewal.
Credit Toward a Future Pollinate Event
If you cannot transfer your registration, you can ask to use your full registration fee as a credit for another Pollinate Impact in-person event within the next 12 months.
Refund
We review refund requests individually and consider each one on a case-by-case basis.
To request a transfer, credit, or refund because of a qualifying emergency, you need to:
Participants who do not attend the event or notify us in advance are considered no-shows. No-shows are not eligible for transfers, credits, or refunds.
Thank you for understanding. Last-minute absences directly impact event planning, catering, venue commitments, and the collective experience.
