Why Weโ€™re Calling for Sessions

The Potluck is designed to move beyond individual organisational improvement and towards collective clarity and action.

Member-led sessions help us:

  • Surface shared and lived challenges.
  • Strengthen collective standards.
  • Exchange tested tools and practices.
  • Explore ecosystem-level solutions.

If youโ€™ve been experimenting, building, questioning, refining, this is the place to bring it.

Who Can Apply?

Pollinate Impact members are eligible to submit session proposals. Multiple proposals are allowed. Proposals must be submitted by a member, but sessions may be co-designed and co-facilitated with partners, allies, or non-members.

The Potluck Tables (and the Flavour You Bring)

All session proposals should clearly address one of our three core Potluck Tables. These themes are the primary focus areas shaping our Manila conversations:

How impact incubators articulate, differentiate, and strengthen the value they bring to founders, funders, ecosystems, and each other.

How we hire, retain, grow, and sustain the people behind impact incubation work.

โ€‹๐ŸŒป Keeping the Table Set (Financial & Organisational Sustainability)

How impact incubators build resilient funding models, governance structures, and long-term adaptability.

โ€‹Think of these Potluck Tables as the foundation of the meal.

โ€‹โ€‹To add depth, context, and practical grounding, we invite you to bring flavour through one or more Sector Lenses:

  • Health
  • Climate
  • Gender

While not required, we recommend adding a sector lens to tailor discussions to real-world contexts.

The goal is intersectional dialogue: broad enough for peer learning, specific enough to generate meaningful insight and action.

Session Formats

Members may propose sessions in one of the following formats:

  • โ€‹Peer-Led Workshops โ€” Experience-sharing and peer exchange
  • Pollinatorโ€™s Toolkit Workshops โ€” Practical tools, templates, and frameworks
  • Capacity Building Workshops โ€” Expert-led skill development
  • Escape Rooms โ€” High-energy, design-sprint style problem-solving
  • Co-Creation Workshops โ€” Systems thinking and collective solution-building

The standard session length is 90 minutes, though 60-minute sessions may also be considered, depending on the format and design.

What Do I Need to Submit?

Our session proposal process is simple and focused. Everything fits on one page. At this stage, we care more about clarity than length.

Your proposal will include:

  • Session Title
  • A clear, direct title that signals what participants can expect.
  • Presenters (maximum of 3)
  • Please list the names of all facilitators. Member organisations may co-facilitate with partners, allies, or non-members.
  • Stream / Table Alignment
  • Indicate which Potluck Table your session aligns with.
  • Session Format
  • Select your proposed format (Peer-Led, Toolkit, Capacity Building, Escape Room, or Co-Creation).
  • Session Plan
  • A brief outline of how the 60โ€“90 minutes will flow. Weโ€™re looking for intentional design and interactive elements.
  • Session Objectives
  • Up to three clear objectives participants will walk away with.
  • Session Description
  • A short paragraph describing what the session will cover, why it matters now, and what participants will gain.

Since proposals are short, we encourage you to keep your submission focused and practical. The best proposals clearly state the challenge, plan for interaction, and draw on real experience.

โ€‹To support programme planning and promotion, we will also ask for:

  • A short bio for each presenter
  • A high-resolution headshot
  • Contact information for each presenter (name, organisation, title, email)

These details will not be part of the proposal review itself but will be used for agenda promotion and coordination if your session is selected.

How Proposals Are Reviewed

All submissions will be reviewed in accordance with our Pollinate Impact Convening Philosophy. We focus on collaboration, practical value that participants can use, meaningful connections, Global South perspectives, and sessions that build toward bigger goals.

โ€‹Proposals will also be reviewed by our Potluck Menu Committee, a group of Pollinate Impact members who help shape the Manila programme. We will look at relevance, clarity of design, timeliness, interactivity, and the potential to add real value to the gathering.

โ€‹Our goal is to curate a programme that is participatory, diverse in voice and region, and deeply aligned with the priorities of our network.

Notification of Results: May 20, 2026

If Your Session Is Selected

If accepted, your session will:

  • Be featured as part of the official Global Potluck 2026 agenda.
  • Be promoted as a member-led contribution to the gathering.
  • Receive design guidance and support from the Pollinate Impact team.
  • Provide you with a two-week window to purchase your conference ticket at the Early Bird Member rate.
